PRADA Group VIP and Talent Coordinator, London

JOB PURPOSE
The VIP and Talent Coordinator is responsible for the development and management of sample tracking and overall department organization. Position requires someone detail oriented and able to work in a fast paced environment. Duties include but not limited to: Travel coordinating for VIPs and Talent, Logistical coordinator of all samples and special VIP pieces between all international offices. Managing reports for Headquarters on a monthly and annual basis.
RESPONSIBILITIES
- Coordinate VIP travel and itineraries. Liaise with appropriate representatives both internal and external to accommodate the company’s guests at events, red carpet support and fashion shows.
- Coordinate all reports to Milan monthly and annually.
- Coordinate hair and make-up, and other hospitality accommodations for celebrities attending all events and shows.
- Act as point person in London for VIP related matters in the absence of the VIP and Talent Manager, including coordinating requests for dressing and strategic placements, sourcing, booking of samples, store pulls and organising shipping/couriers.
- North Europe liaison for VIP and Talent activity directed through London office executed out of the North Europe boutiques.
- Assist celebrity fittings and coordinate the logistics of tailoring, messengers and communicating details to Milan.
- Coordinate celebrity gifting initiatives for the region, including managing the lists, product units, coordination of delivery and shipping.
- Network, build and maintain relationships with entertainment editors at weekly and monthly publications in order to ensure product mentions and images in magazines and on internet sites by way of sending out press releases.
- Manage PR samples including distribution and collection from celebrities; learn SAP system. Keep VIP department up to date on outstanding store stock and gifting.
- Support manager with the tracking and processing of invoices and the VIP and Talent Budget
- Provide database, systems and document coordination: ensuring that company processes, systems and tools are maintained in a timely and accurate manner; ensure all tracker tools are updated including allowance trackers, press sample trackers, internal event trackers.
- Support manager with the supplier and talent relationships, coordinating contracts and agreements.
- Research and recommend new up-and-coming talent to VIP and Talent Manager.

Strong organizational skills, attention to detail and prioritizing capabilities
Experience with Excel and Power point for reports.
Will be trained to understand SAP sample tracking system.
Travel may be required
