JOB PURPOSE : 

 

To be responsible to support the office activities in Paris Head office in all secretarial matters, ensuring they are run smoothly and efficiently. 

 

 
RESPONSIBILITIES :
 
•    Booking of travel tickets & accommodation, updating travel related reports.
•    Provide secretarial and administrative support to the offices.
•    Ordering of stationery, pantry supplies & office supplies.
•    Coordinate printing of office stationery and name cards.
•    Assists in sending & receiving of mails and couriers.
•    Maintaining and updating the shoplist, telephone and fax numbers in frequent usage by staff.
•    Answer the phone, take messages or refer calls to appropriate staff member.
•    Ensure that all company communications are handled properly and in compliance with group standards.
•    Prepare communications, memos or other reports for internal or external distribution.
•    Assist in other ad hoc duties or office admin projects when needed. 

 


KNOWLEDGE AND SKILLS :

 

Relevant experience in administration, secretarial or executive assistant fields
Good communication skills and strong ability to multi-task
Fluent spoken French and English expected, Italian would be a plus
Good command of all Office programs
